RDD Asia Technology ExhibitionThe Exhibition offers your organization the opportunity to display research, technology and services of interest to the medical aerosol community. Conference Supporters, Workshop Presenters, and Exhibitors will each have a table suitable for the display of components, excipients, hardware or services relevant to inhaled pharmaceutical products.

When and Where

The Exhibition runs in conjunction with the Poster Session throughout the conference and will be continuously accessible from 10:00 AM to 6:00 PM on Wednesday, November 20, and from 8:30 AM to 5:00 PM on Thursday, November 21. It will be the main RDD event during the following times:

Exhibitor Fees and Benefits

The Exhibitor Fee is $5,000 and includes:

  • Acknowledgement during the opening session, in downloaded articles and proceedings, and on the conference website. Logo links to company profile
  • Complimentary registration for One Delegate
  • Exhibit Table with electrical access. Exhibit Tables will be allocated based upon Sponsorship Level (Conference Supporter, Workshop Presenter, Exhibitor)
  • Company Profile which includes logo, company description, contact details, up to 6 assets promoting products and services, links to presentations at RDD Asia 2024 and articles published at previous RDD conferences. During the conference period, company profiles will also include key contacts, messaging and meeting scheduler (visible to registered delegates). Company profiles are posted from time of commitment through December 31, 2024
  • 25% discount on advertisement in electronic proceedings
  • Access to delegate list (October 2024)
  • Inclusion in pre-conference email highlighting RDD Asia 2024 exhibitors

Exhibition Guidelines

Our goal is to create a sustained, intensive networking opportunity for large and small companies in a comfortable environment. The following rules are strictly enforced:

Acceptable Displays

  • All display material must be on top of the tables we provide. Booths may not be used. Floor- and wall-mounted displays or racks are not permitted. Neither are lighted displays.
  • Monitors with a diagonal measurement up to 32 inches are acceptable. Contact info@rddonline.com for rental details from the conference hotel's AV partner.
  • Do not place anything taller than 24 inches or heavier than 40 lbs on your table.
  • Only one company is permitted to exhibit at each table.
  • Exhibit sponsors receive one complimentary registration; additional company representatives must register and pay the registration fee. Higher level sponsors receive additional complimentary registrations. Contact info@rddonline.com for details. 

Table Location and Size

Exhibitors select their preferred table location based upon sponsorship level: Conference Supporter, Workshop Presenter, then Exhibitor. Within the constraints of the available exhibit space, we locate posters from an organization close to their exhibit table.

  • All tables are approximately 78 inches long x 18 inches wide with a 30 inch drop to the floor. Tables have a white cover.
  • Your table is intended to allow distribution of brochures, business cards and other literature. It also facilitates demonstrations of handheld devices and can hold a laptop computer. We encourage you to display your company name and/or logo on a freestanding sign no taller than 24 inches or using a printed tablecloth.
  • Electrical Outlets: Standard Indian electric outlets (230 Volts, 50 Hz) will be provided to all tables. Visitors from outside India are responsible for bringing appropriate electrical adaptors.

Set Up and Take Down

  • Set-up is encouraged on Tuesday, November 19, between 5:00–7:30 PM. You may wish to register at the same time. Our staff will direct you to your table location. Do not set up in a different location. Late arrivals may set-up on Wednesday, November 20 from 7:30–9:00 AM.
  • To protect your property, hotel security will not allow access to the Poster and Exhibition area from Tuesday at 7:00 PM until Wednesday at 7:30 AM. We recommend that you take small, high value items such as laptops and prototype devices with you when you are not at your table or when leaving the space for the evening.
  • A Poster and Exhibition Floor Plan will be provided to all delegates so they can easily find your table.
  • Exhibits should be removed on Thursday, November 21, at 5:00 PM.
  • The meeting organizers and the Grand Hyatt Kochi Bolgatty expressly disclaim responsibility for loss or damage to any items that you bring into the Poster and Exhibition area.

Please ensure anyone shipping packages to the Grand Hyatt Kochi Bolgatty on your behalf receives a copy of these instructions.

SHIPPING SCHEDULE

  • To ensure your package(s) will be stored safely, please contact Nithin Es at least 3 days before anticipated arrival of shipment. Let him know the weight and number of packages sent.
  • Shipments should be timed to arrive between November 10 and November 18 2024. Please allow sufficient time for customs clearance. All shipments are subject to inspection.
  • Shipments must arrive at the Grand Hyatt between 8:00 AM - 3:00 PM Monday through Friday.

LABELING YOUR SHIPMENT

Please attach a Main Shipping Label and the Hotel Delivery Label to each box

  • The Main Shipping Label should include the hotel shipping address as well as your company's return address or that of your shipping company Shipments should be timed to arrive between November 10 and November 18 2024. Please allow sufficient time for customs clearance. All shipments are subject to inspection.
  • Please complete and attach the Hotel Delivery Label. It is a fillable PDF file. Include your name, your company name and the purpose of the box contents (e.g. Poster, Exhibit Table, Workshop).
  • Number each box and the total number of boxes in your shipment (e.g., Box 1 of 3, Box 2 of 3, Box 3 of 3).

IMPORTANT INFORMATION

RDD Asia 2024 does not accept responsibility for items delayed, lost, or damaged in transit to or from the Grand Hyatt Kochi Bolgatty.

  • Shipments will be brought to your exhibit table, poster board, or workshop room.
  • All international shipments are subject to customs inspection. Please ensure sufficient time for customs clearance. If applicable please include “Items for trade demonstration and re-export” on your carrier documentation.
  • Transport and custom charges are the responsibility of the sender. Neither RDD nor the Grand Hyatt will pay transport or customs fees. Please ensure all transport and customs fees are prepaid.
  • Package fragile equipment carefully. Dangerous or suspicious looking materials should not be shipped to RDD Asia 2024.
  • Exhibit boxes should be no bigger than 1 meter wide, 1.2 meters high and 1.2 meters deep.
  • Grand Hyatt may charge handling fees in the case of heavy and bulky parcels; such fees are the responsibility of the shipper.

OUTGOING SHIPMENTS

  • You are responsible for organizing the packing and outgoing shipment of your materials (pack a roll of tape).
  • You are responsible for contacting your carrier (DHL, FedEx, UPS, etc.) to schedule pick-up and for completing the appropriate forms and labels.
  • Packages must be picked up from the hotel address shown above between November 21 and November 25, 2024.
